Erasmus+ Outgoing Students

Before and during mobility

Preparation, formalities before departure

(After qualifying for the mobility)

Candidates applying to study abroad are informed about the outcome of the recruitment process within the timeframe specified in the recruitment schedule by the Institutional Erasmus+ Coordinator. From that moment on, those who have been accepted should take steps that usually take several months and are necessary to meet a number of requirements related to the organization of studies at the Receiving Institution.

After the results are announced, an obligatory organisational meeting is held to discuss the further preparation process. Students are provided with contact details for Faculty Coordinators, representatives of the Receiving Institutions and former Erasmus+ programme participants.

Candidates are informed that they must first contact representatives of the Receiving Institutions and submit the relevant documents. These are usually application forms and accommodation requests. Some universities may also require a transcript of records in English. Receiving Institutions inform students about all formalities in an individual correspondence. It is important to prepare a list of courses to study abroad. It is also useful to contact former Erasmus+ programme participants to find out what it is like to study abroad and to get practical advice.

In order to obtain the right to mobility and scholarship funding, students have to sign a mobility agreement with their Sending Institution for the Erasmus+ mobility (this also applies to those with a so-called zero grant). The contract can only be signed after the candidate has provided the required documents. It is best to sign it about a month before the planned departure so that the first instalment of the scholarship is credited to the participant's account before the planned departure.

Documents required to sign the mobility agreement

1. Online Learning Agreement for studies/ or Learning Agreement for traineeship according to the current template, signed by the student, responsible person (Faculty Coordinator) and the Receiving Institution.
2. Recognition Sheet approved by the Dean, student, Faculty Coordinator (form is issued by the Faculty Coordinator).
3. Letter of Acceptance / Letter of Admission (a letter from the Receiving Institution confirming admission to the programme, which the Receiving Institution sends directly to the student after obtaining and accepting the required documents).
4. Bank Details Form.
5. Confirmation of health insurance (European Health Insurance Card, or equivalent private insurance) and accident insurance.
6. Certificate from the Student Service Office confirming the student's status.
7. Completion of the online language test.
8. Travel declaration

It is worth noting that if the mobility takes place during the winter session, you have to submit a request to the Dean for permission to take the examination session earlier due to studying abroad. If the tutor agrees to allow you to take the exam during the summer session, you should also submit a request to the Dean about moving the exam date to the summer session. You should also notify your Faculty Coordinator about moving the exam to the summer session.

Preparing for mobility is time-consuming and intensive. This process should be treated as a test of your own competence for the mobility. Those who can handle the administrative matters are given a unique opportunity to study abroad and prove that they are capable of facing the challenges that await them.

We have been accepted for Erasmus! But what next? Plan of action:

1. Participation in an organisational meeting, about which those who have been accepted are informed by the Institutional Erasmus+ Coordinator.
2. Submitting your nomination to the contact person at the Receiving Institution and acquiring information about the application procedure for the Receiving Institution and how to obtain an accommodation.
3. Meeting with the Faculty Coordinator, who assists students in academical way, for example preparing the Online Learning Agreement for studies.
4. Contact former Erasmus+ programme participants to obtain practical information about the conditions of stay at the Receiving Institution.
5. Submit requests and required documents to Receiving Institutions.
6. Completing the documents needed to sign the contract for the mobility: Online Learning Agreement for studies/traineeship; Recognition Sheet (studies); Letter of Acceptance; bank details form; confirmation of health insurance (EHIC card) and accident insurance; certificate from the Student Service Office confirming the student's status.
7. Taking the OLS language test.
8. Signing a mobility agreement with Sending Institution for participation in the Erasmus+ programme (after making an appointment with the International Relations Office).

Formalities after the mobility

In order to settle the mobility, the following documents have to be submitted to the International Relations Office after your mobility:
1. Confirmation of Stay - a certificate issued by the Receiving Institution confirming the period of stay, including the actual start and end dates of your physical stay at the Receiving Institution and proving that the planned study/traineeship programme has been completed.
2. Transcript of Records - information about the completed courses, passed exams and grades obtained at the Receiving University / information about the completed traineeship along with the traineeship assessment.
3. If changes were made to the courses/traineeship programme during the mobility abroad: Changes to Learning Agreement approved by all parties and a new Recognition Sheet also approved by all parties.
4. The mandatory online EU survey must be completed.
5. Travel statement.

Students are also required to contact their Faculty Coordinator in order to receive the full recognition of their mobility and the semester credit.

At the Faculty: students returning from a long-term Erasmus + mobility period are required to submit a Transcript of Records to the Faculty Coordinator no later than the end of the resit session at their Sending Institution. If the student does not receive the Transcript of Records by the end of the resit session, they may apply to the Dean for an extension of the deadline for its submission and for the semester to be credited. After the Faculty Coordinator has verified the Transcript of Records, the student submits the document, completed and approved by the Coordinator, to the Student Service Office in order to settle the period of study and have the mobility recognition. Students should get a minimum of 30 ECTS credits at the Receiving Institution, corresponding to one semester of study at the Sending Institution.
